As the Intrexx administrator or Intrexx Share administrator you have access to
the administration area of Intrexx Share. You can reach this area from the
navigation bar
by clicking on the
Administration symbol.
1. Administrators
In the left column, you can specify which Intrexx Share users should receive
administrative permissions within Intrexx Share.
Here, users who do not belong to the Intrexx administrators can also be selected.
Intrexx Share administrators have access to the
Administration area from the navigation bar, and can manage posts,
groups, etc., from here. To define the first Intrexx Share administrator, an
Intrexx administrator must open Intrexx Share and edit the list of administrators
in the Administration area. To do this, click on
Add administrators.
A tooltip will be opened, in which you can amend the list of administrators
according to your requirements. Intrexx Share administrators can also remove
themselves from the list of Intrexx Share administrators.
2. Read confirmation
In the left column you can also determine which Intrexx Share Users are allowed
to
request read confirmations. To do that, click on
Add read confirmation.
The list of authorized users can be modified in this tooltip.
3. Switch modules on and off
In the middle column, the individual modules can be made available or hidden.
To hide individual modules, mark these and apply the changes by clicking on
Save. Of course, hidden modules can be made
available again at any time.

5. Change the design of Share
Colors
You can define the colors used in Intrexx Share for the following areas here:
Background color of the navigation bar
Shadow color of the navigation bar
Color of links and background color of buttons
Text color for buttons
For each setting, the default color is listed as well allowing you to return
to the default settings easily if you want to discard changes.
Page width
Defines the page width of Intrexx Share.
Number of menu items in navigation bar without a title (Default: 11)
Defines the maximum number of menu items (modules) without a title in the
Navigation bar.
Number of menu items in navigation bar with a title (Default: 7)
Defines the maximum number of menu items (modules) with a title in the
Navigation bar.
Provided you are in administration mode, selected
from the
Navigation bar, you can administrate the master data for the modules
listed below. The administration mode is easily recognized in the left of
the navigation bar. Furthermore, the modules selected for administration will
be shown in another color in comparison to the normal user mode.
If you click on the
News module, the administration mode will be switched off.
8. Administrate groups
In administration mode, all of the groups that currently exist in Intrexx Share
will be listed. Groups which have been deleted will be denoted accordingly.

If you click on the Members or
Moderators link, the respective area will be
shown with the profile pictures of the corresponding users.
You can also see the names of users without Intrexx Share profiles here. Click

The symbols are grayed out if the corresponding property is not fulfilled. The
meaning of each symbol is shown when you move the mouse over it. Click on
Edit image to change the group's image.
If you select a group by clicking on its title, you can
manage the group.
Here, a group which was deleted by Intrexx Share users, and therefore marked
as deleted, can be restored here, provided the
process hasn't already performed
the deletion. The group can also be deleted immediately with the corresponding
button here.
9. Administrate events
In administration mode, all of the events that currently exist in Intrexx Share
will be listed. Events which have been deleted will be denoted accordingly.

If you click on the Participants link,
the respective area will be shown with the profile pictures of the corresponding users.

Edit event to administrate the event's
master data. Click on
Invite contacts to invite additional users.
You are invited shows whether the administrator
has been invited. The symbols are grayed out if the corresponding property

10. Administrate Filebox
In the central area of the display you will see all of the folders currently
available in the Filebox. For each folder, the following information is also
displayed: the name of the folder, the date of the most recent change, and the
name of the user, whose Filebox contains the folder. By clicking on the name of
the folder, the date the folder was created, and, if appropriate, the name of
the parent folder, will also be displayed. This additional information can be
hidden again by clicking on the folder name a second time. The
Edit symbol is displayed to the left of the folder name, from which
the master data of the
folder can be edited. This includes the assignment of access to users, and
the actions they can perform, as well as the name of the folder. With the
Filter by categories element you can switch
between the list of folders and the list of files.
For a file, the title, the date of the last change and the name of the
creator of the file are listed. By clicking on the title of the file,
you will additionally see the filename, the description and the name of
the folder in which the file is located. You can open or save the file by
clicking on the file name, or on the icon of the default program for that
file. In addition, you have the option to move a file to another folder,
using the Move link. The destination folder
can be any folder for which you have permission to add files. The
Edit icon is shown to the left of the file name which you can use
to change the file data record. You can customize the title of the file
data record, as well the file itself, and the description. From this
point you also have the option to move the file, or to delete it.
Within the list of folders or files on the main page of the file box area
in the administration view, you can search for specific terms. For folders,
the folder name will be searched, while for files, the associated folder
name, the title of the file and the name of the user who uploaded the file
will be searched.
11. Administrate messages
In the middle column, all messages with their subject and creator will be shown.

If you select a message by clicking on its title, you can
manage the message.
12. Administrate photo albums
In the middle column you can see all photo albums which have been created in Intrexx Share.
If you select a photo album by clicking on its title, you can edit its
master data.
13. Administrate advertisements
In the middle column you can see all advertisements which have been created in Intrexx Share.
If you click on Edit, you can edit an advertisement's
master data.
14. Process-controlled deletion
The process Intrexx Share Administration is responsible
for the automatic deletion of the following Intrexx Share objects:
Profiles
24 hours after a profile has been marked as deleted
Groups including posts
30 days after the group has been marked as deleted
Events including posts
30 days after the event has been marked as deleted
Posts marked as deleted
90 days after the post was deleted.
Archived posts
90 days after the post was archived.
Read notifications
depends on the
Profile setting, Default: 90 days
The time delay can be modified in the respective Groovy script
(variable delay). This change, however,
is not update-proof. United Planet assumes no responsibility for
errors caused by changes made to the script. The deadline for the
deletion of read notification can be modified on the
profile.
The process is performed (default setting) daily at 00:19 in the portal's
timezone. Here, locked or deleted user accounts from the portal's User Manager
are synchronized with the Intrexx Share profiles. Concerned Intrexx Share profiles
will be
deactivated. If an Intrexx Share user deletes their profile, this will
initially be marked as deleted. The process also automatically deletes
profiles marked as deleted. Groups, events, and posts, which have been
deleted by Intrexx Share users, will initially be marked as deleted.
The process takes over the task of deletion including all posts which were
created in the concerned group or event. In the
Plugin settings, you can define the
lifecycle and time management so that posts are archived under certain
circumstances. These are then no longer visible among the current
posts. These archived posts and also read notifications are also deleted
by the process.
15. Miscellaneous element
You'll find the element Miscellaneous in the
right column which can use to perform additional administrative tasks.
16. Miscellaneous element: Posts
The Intrexx administrators have access to all of the posts here. Intrexx Share
administrators can access the application, data group and page rights, as
defined in the application, to ensure that the data is protected against
unauthorized access.
The Filter posts element allows you to filter
posts by Archive, Reported
and Deleted. By selecting the
Archive option, the posts displayed will be those which are no longer
displayed due to the
Filter
for the removal from the stream. The option
Reported will display all posts that have been reported by Intrexx
Share users to the Intrexx Share administrators. With the
Deleted option, you will see all posts which have been marked for
deletion, but have not yet actually been deleted by the
process. Click on
Settings to show additional information about the
post.
This includes the type of post, which specifies from which module the post
comes, the positioning date, the modification date of the post, together with
various additional information dependent on the type of post, e.g. an
indication of the privacy settings, an indication of the
Deleted status, or whether the post is already hidden due to the
Archive option.
Delete immediately will delete the post right away.
With the
Move option, which is available for each post,
you can move the selected post to a personal page, into a group, or to an
event. To do this, select the required location and any required visibility
settings. Posts that do not come from a plugin, can be edited directly on the
administration page. To do this, select the
Edit option. For posts that come from a plugin, you can open the edit
page defined in the plugin. For posts that are already marked as deleted, but
have not yet been removed by the process,
these can be restored with the corresponding button.
17. Miscellaneous element: Profiles
If Profiles is selected in the
Miscellaneous element, all Intrexx Share users will be listed in the
middle column. By clicking on
More information, the
user data
will be shown. By clicking on
Important, the
important information
of the user can be edited.
If you click on the
Administration link in the element, you'll be taken to the
homepage of the administration.
19. Miscellaneous element: Settings
In Intrexx Share, the users will be informed about various events via a
notification. For each type of notification, the user can determine if they
also want to
additionally receive an email. In the administration area you configure
the default values for sending emails. These defaults will be applied when a
new profile is created. By means of a checkbox next to each notification type,
you can also specify whether or not the users can override the default values.
The order of the checks that determine whether an email should be generated
with the notification, is as follows: The settings from the administration
area have the highest priority. If the option
Allow user changes is not selected, the email delivery will be
determined by the default set in the administration area. If the users are
allowed to override the requested notification type, the profile of the user
who will receive the notification will be checked, to determine if and when
an email should be sent.
As well as other standard texts, the subject of the notification
can be modified in the
Portal properties
in the
Global language constants. Please note: Changes made to the
language constants are not, in some circumstances, update-proof
and may be overwritten during a
Software update.
20. Statistics
The Statistics element provides an overview
of the number of posts, groups, events, profiles and files in Intrexx Share.
